Privacy Policy
This Privacy Policy describes how Service Pro Suite (“we”, “us”, or “our”) collects, uses, and shares information about you when you use our service management platform, marketing website, and text-message features (collectively, the “Service”).
1. Information we collect
We collect the following categories of information:
- Account information — name, business name, email address, mobile phone number, and password when you sign up.
- Customer records — information about your clients (name, address, phone, email, job history) that you enter into the platform.
- Payment data — payment card and bank information, processed by our payment provider (Stripe). We do not store full card numbers.
- Location data — GPS coordinates from technician devices when they use the mobile field view (used for route optimization and “Track My Tech” features). Coordinates are not sold or shared.
- Usage data — page views, click events, device type, IP address, browser type — collected via first-party cookies and standard web analytics.
2. How we use your information
- To provide and maintain the Service.
- To process payments and manage subscriptions.
- To send transactional communications (booking confirmations, receipts, on-the-way texts, password resets).
- To improve, personalize, and secure the Service.
- To comply with legal obligations.
3. Mobile phone numbers and SMS opt-in — IMPORTANT
Mobile information collected as part of SMS opt-in — including phone numbers, opt-in status, and opt-in source — is NEVER shared with or sold to any third party or affiliate for marketing or promotional purposes.
When you or your customers opt in to receive text messages from us (for example, appointment reminders or “on my way” notifications), we use the mobile number solely to deliver those texts. 4. How we share information
We share information only in these limited situations:
- Service providers we hire to operate the Service (payment processing, SMS delivery, email delivery, hosting). They are contractually bound to keep information confidential and use it only to provide services to us.
- Legal / safety — when required by law, subpoena, or to protect the rights, property, or safety of Service Pro Suite, our users, or others.
- Business transfers — in connection with a merger, acquisition, or sale of assets, subject to standard confidentiality obligations.
We do not sell your personal information, and we do not share mobile opt-in data with any third party for marketing.
5. Data retention
We retain personal information for as long as your account is active or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. Customer records and job history are retained for as long as your subscription is active. Payroll and paystub records are retained for at least seven (7) years to satisfy US tax record-keeping requirements.
6. Security
We use industry-standard safeguards, including TLS encryption in transit, AES / Fernet encryption at rest for sensitive fields (such as SSN), and access controls. No system is perfectly secure — but we work hard to protect your information and will notify affected users of any breach involving personal data as required by applicable law.
7. Your choices and rights
- Access & correction — you can view and update most of your account and customer data directly in the app.
- Deletion — you may request deletion of your account by emailing privacy@serviceprosuite.com. Some records may be retained where required by law.
- SMS opt-out — reply STOP to any text at any time, or contact us at the email above.
- California residents — you have additional rights under the CCPA/CPRA (right to know, right to delete, right to opt out of sale — although we do not sell information). Submit requests to privacy@serviceprosuite.com.
8. Cookies and analytics
We use first-party cookies to keep you signed in and to remember your preferences. We use privacy-preserving analytics to understand aggregate usage. You can disable cookies in your browser, but some features will not work.
9. Children
The Service is not directed to children under 13, and we do not knowingly collect information from anyone under 13.
10. Changes to this policy
We may update this policy from time to time. When we do, we'll update the Effective date at the top of this page and, for material changes, provide additional notice (email or in-app banner). Continued use of the Service after a change constitutes acceptance of the revised policy.
